Position Summary:
The Events Specialist is responsible for planning, coordinating, and executing firm-sponsored events that support advertising, marketing, and business development; client engagement; Firm public relations; and employee workplace experience and benefits. This role ensures that events and programming are executed professionally while providing a seamless experience for attendees, including current and prospective clients, attorneys, and staff. This is a highly visible role and requires high-touch client service and the ability to problem-solve and collaborate across the Firm. Good judgement and ability to lead a project is required.
Essential Duties and Responsibilities:
Event Planning and Execution
- Plan, implement, and execute end-to-end logistics for external and internal events including venue research and selection, vendor coordination, contract negotiation and processing, on-site support, and post-event evaluation.
- Collaborate with Business Development Heads partners, and other stakeholders to formulate and evaluate event objectives.
- Prepare budgets and forecasts for events; monitor and manage event budgets, including tracking expenses to ensure that events are produced within budget.
- Partner with internal teams and external service providers to ensure seamless event execution; identify issues as they arise during the planning and execution stages and troubleshoot accordingly.
- Conduct post event reconciliation and evaluation to assess event success and/or identify area(s) for improvement.
- Develop and maintain relationships with venue locations and vendors.
- Remain up to date on industry trends and emerging venue locations.
- Present thoughtful and current ideas to management concerning event opportunities and strategies for implementation of same.
Marketing/Business Development/Employee Engagement Operations
- Run bi-monthly Wellness Committee meetings, manage Firm membership, and coordinate the planning and execution of programming throughout the year including donation drives, community and client engagement events, and other internal events and initiatives to support employee benefit programs and workplace experience.
- Coordinate and support the Firm’s client gift program including the client holiday gifting process.
- Partner with Human Resources to coordinate components of the employee gifting program.
- Responsible for developing, sourcing, and ordering firm promotional items.
- Draft and assist with preparing content on external events and internal programming for internal firm communications, social media, and the firm website.
- Support Business Development Heads and serve as liaison with Finance as it relates to expense tracking and budgeting.
- Regular collaboration with the BD and Marketing team on ad hoc projects and team coverage as needed.
Requirements
Education and Experience:
- Bachelor’s degree required.
- 4+ years of experience in event planning preferred, preferably in professional services or hospitality.
Knowledge, Skills, and Abilities:
- Service oriented mindset.
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- Acute attention to detail.
- Proactive and resourceful with the ability to problem-solve.
- Professional demeanor with the ability to exercise discretion and good independent judgement.
- Familiarity with New York City venues preferred.
- Flexibility for extended and irregular hours to support events as needed.
- Technical proficiency of Aderant, Vuture, Concep, InterAction, PowerPoint and Excel. Training will be provided as necessary.
Compensation:
The range of base salary* the Firm reasonably expects to pay for this role is $85,000-$100,000. The actual base salary offered will be based on a number of factors, including but not limited to the qualifications of the applicant, years of relevant experience, level of education attained, and if applicable, certifications or other professional licenses held.
*The range listed is just one component of Herrick Feinstein’s total compensation and benefits package for employees, which includes a discretionary year-end bonus; health, dental, vision, life, and disability insurance; and a 401(k) plan.
