The Director for Communications and Marketing will operate as a key member of the Provost's administrative leadership team and will have primary responsibility for establishing, integrating and managing the brand of the Office of the Vice President and Provost, enhancing the reputation, promotion and visibility of the office, its academic departments and its centers and institutes to audiences through various outlets. The Director will work collaboratively with the Provost and university public affairs and marketing personnel. This position will manage the print and electronic communications, including social media outlets, and ensure effective knowledge sharing about the office. The Director serves as project manager and graphic designer for all office publications, press releases, scripts and announcements, from conception to production-ready product, including information gathering, writing, editing, assuring accuracy, proofreading, graphic design and acquisition of photographs. The Director works in coordination with University Communications to ensure that these projects adhere to the university's branding standards. Reports to and works under the general guidance of the Assistant Vice President for Academic Administration. Receives daily direction from and works in collaboration with the Vice President and Provost. Supervises external vendors, including printers, photographers, graphic designers, freelance writers and illustrators. May provide direction to Office of the Vice President and Provost support staff as needed.
Duties and Responsibilities:
Promotion of Academic Affairs
Actively manage and oversee Provost office communications including, but not limited to, researching, writing and editing content for press releases, announcements, feature stories and website panel content; coordinating photo shoots with subjects, photographer and art director; updating daily event and news listings; post new content on website and social media platforms; actively participate in social media outreach efforts.
Draft press releases and speeches for and coordinate promotion of various events/activities which include, but are not limited to, Fall Convocation, Commencement, New Faculty Orientation, strategic planning, and other receptions/special events.
Work with the Provost, Vice and Associate Provosts and Assistant Vice President to oversee website content development, direct research, writing, editing and distribution of all office print and e-publications. Create and distribute special event fliers, posters, and other promotional materials.
Lead, develop and implement an agenda for messaging, content and branding, while promoting core values. Review current communications, gather and analyze data to examine effectiveness of communication strategies and develop, present and implement a comprehensive communications strategy and social marketing plan. The plan should focus on short and long-term strategies, and integrate print, web, e-communications, social media, and other emerging technologies.
Responsible for current publications which include: Faculty Newsnotes, Undergraduate and Graduate Bulletins, Academic Calendar and the Creative Collaborations Showcase booklet. Printed publications include the Undergraduate and Graduate Commencement programs, the Fall Convocation booklet and Insight publication. The Director is responsible for all tasks required to complete these projects from information gathering, inputting, writing, editing, assuring accuracy, proofreading, graphic design and acquisition of photographs. The Director ensures all publications adhere to USD's branding standards. The Director represents the Provost Office and works in coordination with the Registrar's Office, Academic Calendar Committee, BLISS Support Team and outside software developers. In addition, the Director works directly with deans, directors, department chairs and executive assistants to gather and input college/schools specific course data for the catalog.
Serve as the liaison to University Relations for the purpose of enhancing the reputation and creating greater visibility and promotion of faculty, student and alumni achievements as well as events. Prepare, edit and post press releases, media advisories, campus announcements, mass email communications, etc. Post pertinent announcements to the website.
Serve as the liaison between the academic units and departments and University Relations. Provide marketing and communication support to the academic units and departments as needed. Initiates collaboration as needed with other academic affairs departments to create, implement and evaluate publications concepts, and manages the creation and production of these projects.
Design, update, and maintain Academic Affairs websites. Manage and oversee web page development and editing. Update content, data, imagery, and other web-dependent files on over 150 web pages. Design/redesign web pages to present current and relevant information to the internal and external community and to present content in an accessible, easy to follow manner. Oversee and recommend web page changes and provide updated information for insertion on other VPP web pages, Academics and other web pages.
Work independently with faculty, administrators and other members of the academic affairs division to determine editorial and communication priorities of projects being produced by the University Communications on behalf of the Office of the Vice President and Provost.
The Director must exercise independent editorial judgment to ensure that all university publications meet the standard for professional journalistic presentation and professional design as well as the university's visual identity and graphic communications standards. Duties in this area include: evaluation of each publication's content, design and photography; editorial meetings to communicate concepts and editorial direction to other entities on campus; and supervision of photographers and other outside vendors to ensure consistent quality and integrity to the publications sent to USD's vital constituents.
Manage and maintain the Academic Publications office budget.
Serve on university committees as appointed.
Education: Bachelor's degree in Journalism, Communications, Graphic Design, Publication or related field. Demonstrated professional expertise in the craft of journalism and graphic design. Specific experience in area of academic publications is encouraged.
Experience: Three years of proven and successful experience in writing, editing, marketing, digital marketing, social media for business purposes, communications, web communications, and public relations. In addition, this individual will have proven expertise in the professional use of social media (Facebook, Twitter and LinkedIn), the internet, Microsoft Office Suite (Word/Excel/PowerPoint), knowledge of website content publishing software and AP writing style.
Preferred Qualifications: Education: Graduation from an accredited college or university with a Master's degree.
Experience: Five years of proven and successful experience in writing, editing, marketing, communications, web communications, social media for business purposes, public relations and managing projects that include web usability, project management and production.
Previous experience in a higher education or nonprofit environment highly preferred.
Prior experience with HTML or other code-related software for websites preferred.
Performance Expectations: Knowledge, Skills and Abilities:
Knowledge of how Provost's Office relates to each academic and non-academic University office. Significant professional background in publications, including three or more years in the graphic design and publications field and demonstrated ability to work independently to coordinate all aspects of the publications process, including conceptualization and development of themes, supervision of vendors and creative personnel such as designers and photographers, and ability to execute all phases of production, including creative processes, proofreading and printing. Demonstrated ability to supervise and manage all phases of the publications process, including writing, design layout, editing, online publication and printing. Understanding of modern marketing communications techniques. Familiarity with federal regulations (CAN SPAM Act) regarding commercial email messages. Proficiency in Macintosh software applications, including word processing and graphics software such as InDesign, Quark XPress, Adobe Photoshop, Adobe Illustrator, Adobe Acrobat, and Microsoft Office. Ability to learn specific internal software such as Banner and external catalog production software. Willingness to learn new technologies as needed for the position. Sensitivity to values and procedures of an academic institution. Ability to work collegially with faculty, staff, students, and the community Ability to counsel superiors regarding alternative courses of action.
